Subcontracts & Tickets Coordinator

The Coordinator works closely with all divisions of the company to ensure accurate and timely workflow.  Computer skills, enthusiasm, outgoing personality, and strong customer service skills a must.

Duties will include:

  • Working closely with the Construction divisions:
    • Stone tickets and invoices:
      • Entering quarry tickets into Access database
      • Creating Access database report to match quarry tickets to the invoice
      • Processing invoices by verifying rates, hours/tonnage, phase codes for accuracy
      • Timely processing of invoices based on vendor payment terms
    • Haul sheets and invoices:
      • Collecting daily haul sheets / reviewing for completeness
      • Matching Haul Sheets or Access database report with haul invoice
      • Processing invoices by verifying rates, hours/tonnage, phase codes for accuracy
      • Timely processing of haul invoices based on vendor payment terms
    • Subcontract Agreements
      • Creating accurate subcontract agreements for approval, and emailing to subcontractors
      • Reviewing subcontracts signed by subcontractor for completeness
      • Coordinating execution of subcontract agreements and distribution of fully executed copies
      • Ensuring timely approvals, communication, and completion of executed documents
    • Subcontractor Accounts Payable:
      • Per PM instruction, entering pay estimates into subcontractor worksheet
      • Coordinating distribution / collection of lien waivers to / from subcontractor
      • Ensuring timely payments to subcontractors (pay when paid)
    • Backing up Front Desk Coordinator
      • Greeting visitors
      • Entering DOT pay estimates into Job Progress Billing
      • Maintaining company cell phones and tablets
  • Other duties as assigned
  • Willingness to be flexible in duties and have a “get-it-done” attitude
  • Must pass post offer drug screen
  • Must provide proof of eligibility to legally work in the US.
  • All new hires will be processed through E – Verify

Qualifications and Skills:

  • Will have excellent interpersonal, verbal and written communication skills.
  • Will have at least 3-5 years of business experience in a professional business environment
  • Must be a motivated self-starter able to work effectively with all divisions with limited supervision
  • Must have intermediate computer skills in Microsoft Word, Outlook, Excel and Access a plus.
  • Must have strong organizational skills and follow up
  • Must be punctual, with solid time-management skills
  • High School Diploma
  • Basic understanding of accounting / construction is a plus
